What WheelPass does
WheelPass provides a structured way for vehicle owners and hirers to record vehicle condition, agreed handover details, evidence, positions and signatures. WheelPass is an evidence and acknowledgement service. It is not itself a vehicle rental contract, insurer, payment collector between owner and hirer, or dispute adjudicator.
Handover records
Each party is responsible for the information, evidence and declarations they submit. Once a handover is fully signed, the signed record is kept immutable. If the parties disagree, WheelPass records their respective positions but does not decide who is right.
Handover Credits
One Handover Credit covers one outgoing and return handover pair. Credits issued from an order or voucher normally expire 12 months after issue. Refunds and accounting corrections are handled through the applicable WheelPass and statutory refund process. Any statutory cancellation or refund rights that apply are unaffected.
Account deletion and records
An account can be permanently retired and its email released for future registration. Historic signed evidence is not automatically attached to a new account. Eligible records may be recovered through the controlled previous-record recovery process while they remain within retention.
Retention
WheelPass operational handover and personal evidence is normally retained for three years from completion and then permanently deleted, unless a legal hold or another lawful requirement requires it to be kept longer. Financial and statutory records may be retained separately for the period Proxyden Limited is required to keep them.
Operator
WheelPass is a trading style of Proxyden Limited. The legal company, VAT and registered-address details shown on invoices are those configured for Proxyden Limited.
