Information WheelPass records
WheelPass can hold owner account details, hirer name and address, the last eight characters of a hirer driving-licence identifier, vehicle and hire information, condition reports, photos, signatures, disputes, reports, renter information, account activity and transaction records.
Driving-licence information
WheelPass does not need a full driving-licence number or a licence image for the standard handover flow. The partial licence identifier is encrypted at rest and access is restricted.
Why information is used
The information is used to operate accounts, coordinate handovers, create signed evidence records, provide reports, send transactional communications, administer credits and orders, support users, maintain security and meet applicable legal or accounting obligations.
Retention
Operational handover and personal evidence is normally permanently deleted after three years. A legal hold can pause deletion for a specific record where necessary. Financial and statutory records are held separately for the applicable legal retention period and are not deleted early merely because the operational handover has expired.
Deleted accounts and recovery
Permanent account deletion releases the email address for future use. A new account does not automatically receive records from a retired account. Previous records can only be recovered through the explicit recovery process while they still exist within retention.
Service providers
WheelPass may use configured service providers such as Brevo for transactional email and Stripe for payment processing where enabled. Provider details and status are administered by WheelPass.
